How much disk space do I need?
When you buy a refurbished laptop, you naturally want enough storage space. But how much is enough? Is a 256 GB SSD enough for you, or should you perhaps look at 512 GB or even 1 TB? In this blog we help you make that choice.
How much disk space you need is an important question in data management. Every time you use your laptop, you create new data.
How much space does the operating system take?
Every laptop we offer runs on Windows as standard. A fresh installation of Windows 11 takes up about 30 to 40 GB of space. This includes the system itself, updates and recovery files.
How much space do your programs use?
Let’s look at commonly used programs:
- Microsoft Office (Word, Excel, PowerPoint): about 4 GB
- Adobe Acrobat Reader (for PDFs): about 0.7 GB
- Zoom (video calling): around 1 GB
- Chrome or Edge (web browser): up to 1 GB
Together these programs need about 7 GB of space. Add some extra room for other apps, such as antivirus or photo editing, and you’re looking at around 15 GB.
That still leaves you about 200 GB on your 256 GB SSD for all your files, such as documents, photos and videos.
How much storage do you really need?
Let’s look at three user profiles. Do you recognise yourself in any of them?
Light user: basic tasks and internet
You mainly use your laptop for browsing, email, a few text files and the occasional photo. Each year you add about 10 to 20 GB of data, such as a few films, holiday photos and documents.
Over 5 years that comes to a maximum of 100 GB of extra data. Together with Windows and programs you’re at around 150 GB in total. For you, a 256 GB SSD is more than enough.
Average user: work and relaxation
Do you use your laptop for both work and personal life, for example for presentations, photo files and a sizeable collection of music and films? Then your data grows faster: about 30 to 50 GB per year. Over five years that adds up to 250 GB extra.
Add Windows and programs to that and you end up at about 300 GB. So with a 256 GB SSD it can get a bit tight. For you, a laptop with 512 GB is a smart choice.
Heavy user: photo or video editing and games
Are you heavily into editing photos and videos, or do you regularly play large games? Then your annual data storage can easily be 50 to 100 GB or more. After five years you’ll certainly need 500 GB or more. You’re clearly better off with a 1 TB SSD, or even 2 TB.
When should you use cloud storage?
Cloud storage means you keep your files remotely, via the internet. Well-known services include Google Drive, OneDrive and Dropbox. Or locally via something like a NAS. But why would you do that?
- Convenience and sharing: The biggest advantage is that your files are available everywhere. You can also easily collaborate with colleagues or friends, because everyone has access to the same files.
- Security: Documents and photos in the cloud are protected against loss if your laptop breaks.
- Saving space: You don’t have to keep everything locally on your laptop. That saves space and keeps your laptop fast.
Cloud storage is ideal for documents and photos, not for programs themselves. Programs run faster and better from your laptop. And be aware that cloud storage means your files are kept somewhere else, in large data centres. So choose privacy-friendly, preferably European storage where your data isn’t simply shipped across the Atlantic Ocean.
Using cloud and local storage consciously
Think carefully about which files are best kept locally and which in the cloud:
- Local storage: programs, important files you work with daily, and sensitive personal documents.
- Cloud storage: photos, videos you don’t need daily, documents to work on together.
If you’re a photographer, for example, you keep recent photos locally for quick access, but put old projects in the cloud. Do you work a lot with colleagues on presentations or reports? Keep those in a shared cloud folder, so everyone can collaborate easily.
Which disk space and which data solution suits me?
In summary:
- 256 GB SSD: Ideal for light use (internet, email, documents, work environments with cloud storage).
- 512 GB SSD: Suitable for average use (work, photos, music, films).
- 1 TB SSD: Perfect for heavy users (intensive photo editing, video production, games).
